Foreign guests

All official foreign guests of the university need to be registered. Only if the foreign guest is in the "Travel" system and there is an accepted travel invoice, the foreign guest will automatically be transferred to TUTKA. This happens several times a year. Still you need to check and correct all the data.

Guests form


The department of the host must be selected. Multiple departments can be selected with the ctrl-key.

Study subject / section

Follow the instructions as for department. If the section of the host is not on the list, contact your department"s main user. Also, none can be selected.

Research centre/group

If the host is member of a Research center/group this input is important. The centers are listed at http://www.jyu.fi/tutkimus/yksikot/. Also, none can be selected.

Purpose of travel

You can choose the purpose of the visit of the guest here:

Dates: Start date, end date

Enter the dates as dd.mm.yyyy


Write about the financing of the visit. For instance which project payed.

Additional information

Enter more detailed information about the visit and the guest.

For instance you can enter a more detailed purpose of the visit: For instance "Presentation and Research cooperation on interesting things".

Information of the guest


It is important that a host is entered for each visitor. You can enter your self or a colleague by selecting the correct department and the person and than pressing "Add host"


Now you are finished. Save or cancel.

After saving, you will see a report of what you entered. You can edit, return to the main page of the department, add another guest or delete the guest.
