"Off-balance-sheet finances and grants module was closed in 1.6.2017". Equivalent data regarding new financial information is recorded in Converis.

Department

The department where the researcher receiving the finance or the grant belongs to.

Only one department can be chosen.

The field is obligatory.

Research center / group

If the finance or the grant belongs to a reseacher center / group, the center / group in question is chosen. Only one research center / group can be chosen.

The field is not obligatory.

Funded project

A description of the target of the finance.

The field is obligatory.

JyU project number

The project number given by the university.

The field is not obligatory.

Belongs to a project

The name of the (larger) project the finance belongs to.

The field is not obligatory.

Research area

The research area of the project is chosen from the list.

If a research area is missing from the list, contact the main users of the department.

The field is obligatory.

Finance channel

The options in the Finance channel -field are "Muu" (Other) and "YO:n kirjapidon kautta" (via accounting of the university).

The field is obligatory.

Code given by the financier

If the financier has given a code for the finance or grant, it is recorded here.

The field is not obligatory.

TA-account

The field is not obligatory (applies for fundings used before SAP system).

Cost pool

The field is not obligatory.

JyU case number

The case number given by the Registry Office of Jyväskylä University.

The field is not obligatory.

The responsible researcher

There must be one (responsible) researcher (principal investigator) added to a finance or a grant.

The researcher is either staff of Jyväskylä University or (s)he has a TUTKA-account.

If the researcher does not have a TUTKA-account, the main user of the department can create a new account.

A researcher is added by first choosing the department (s)he belongs to, then clicking "->" (Show people) and finally choosing the researcher from the list.

The chosen researcher can be removed by clicking "Delete" after the name.

The department where the researcher is chosen from does not affect the department the finance belongs to. The department of the finance is chosen in the beginning of the form in the Department-field.

The field is obligatory.

Fundings

The time of the finance must be entered before adding financiers. Funding decision is considered to be negative, is received funding is marked as 0.

Time of the finance

Enter the start and end dates of the finance. TUTKA will check the validity of the dates.

If you have deferred the time of the finance, enter the original time anyway. The reason for this is that only the finances are recorded in TUTKA, not their use.

A finance is not necessarily addressed to a certain time span. A finance is usually applied for a certain purpose. In this case the time of the finance is the time that it takes to fulfil the purpose. If the finance in question is small, the start date can be the date of receiving the finance and the end date three months after that.

The field is obligatory.

Adding a new financier

A financier is added to a finance or a grant by first choosing a financier group, then clicking "->" (Show financiers) and finally choosing the financier from the list and entering the project number and annual amounts. The amounts are entered in euros and the delimiter between euros and cents is dot ("."). Clicking "Accept the funding" adds the funding.

The financier is removed by clicking "Delete" in the end of the row.

The information of the financier (the project number and the annual amounts) can be edited by clicking "Edit" after the information of the funding.

Financier is obligatory information.

Editing a financier

When editing a financier, first choose "Edit" in the end of the row of the funding. Choose a new financier group, click "->" (Show financiers) and choose the new financier from the list.

The project number and the annual amounts have their own fields.

If you want to change the time of the funding and so add annual amounts, first you need to edit the time of the finance on the first form and then edit the amounts by clicking "Edit" after the information of the funding.

The project number or the annual amounts are not obligatory fields. Personal grants do no have a project number.

The main users of TUTKA can add, edit and delete financiers and financier groups.
